Templates

Templates is an application located in a Tools and Settings of a particular Website. This application is not bound to a single website, it is shared and data from it are available on all websites.

This application allows you to create templates for e-mails (their sending is subsequently defined in the Security and E-shop Settings applications) and e-shop documents (they are subsequently connected to E-shop Settings or Stock Services).

E-mail Templates

E-mail templates are, such as e-commerce templates, created in a website settings in the Templates application. These e-mail templates can be divided into two groups according to their purpose - e-shop e-mail templates and website e-mail templates.

In this application you will define a template using BizBox parameters and special marks and also the purpose (type) of the e-mail. A created template is connected to a particular application (E-shop Settings in the Administration module or Security in the CMS module) in the next step. Thanks to this to every customer or registered user will be sent personalized e-mails. That means that Templates application is some kind of storage for all e-mail templates which you subsequently connect to another application which defines their sending.

E-shop E-mail Templates

These e-mails has to be assigned to a particular E-shop Settings to make them work. Without it is BizBox unable to send them to customers. You have to go to the Administration module and run the E-shop Settings application. Here edit or create new record. On the E-mails tab are these templates assigned. For Order and Purchase Confirmation E-mails you should also decide for which payment methods they will be automatically send. No a e-mail template added here can be also defined attachments that will be send together. This can typically be a e-shop document.

Note

You can define a special customer e-mail templates for every Payment Method you use on your store. Typically you need to send a different e-mail content to a customer who pays with online credit card and to a customer who selects a cash on delivery method. Those payment type e-mail is not selected in the Templates application (here you just prepare various templates). The template and a type of payment for which is it used is selected directly when adding this e-mail to an E-shop Settings.

E-commerce Templates can be divided into 4 sections:

  • E-shop Templates: Credit Note, Invoice, Order, Packing List, Proforma Invoice and Sales Receipt

  • Stock Templates: Issue, Receipt and Transfer

  • Export Templates: Orders, Issues, Invoices

  • Products: Coupon Card

E-shop Templates

E-shop templates are used to provide accounting or summarizing info about a particular order and actions connected to them. According to the template, a PDF document is generated, which can be sent as an attachment to a particular e-mail for a customer. You are also able to display and download it directly from BizBox.

Note

These templates are not generated automatically, you have to set up their generation in the E-shop Settings.

There are 9 types of e-commerce templates:

  • Credit Note - a PDF document issued to correct a mistake in case the invoice has overcharged (or contains another mistakes) or in case the seller (you) is crediting an amount to a customer’s account. BizBox offers you a default Credit Note template - a basic pattern for simple Credit Note generation. This default template contains parameters which adds current data from Branch, order and customer. Remember that in the e-shop settings, you have to set payment methods for which this document can be generated.

  • Invoice - a PDF document (bill) provided by the seller (you) to the customers in the product transactions. BizBox offers you a default Invoice Template – a basic pattern for a simple Invoice creation. This template is automatically filled out with other information saved in BizBox, such as Branch information (name, account number), date of order and customer’s info (provided through the Checkout form). Remember that in the e-shop settings you have to set payment methods for which this document can be generated.

  • Order - a PDF document that can be generated for both Catalog e-shop type and online store e-shop type.

  • Packing List - a PDF document used to summarize information about the stock and order issue. Its generation has to be set up in the e-shop settings. Don’t forget to select the concrete payment methods for which it will be generated and also don’t forget to assign it as an attachment to an e-mail that is sent to customers.

  • Packing List - is a PDF document provided by the seller/supplier (you) to the customer/recipient. It accompanies delivery packages.

  • Proforma Invoice - is a PDF document provided by the seller (you) to the customer in advance of a delivery of products. It is send as a part of the Order Confirmation E-mail in case the customer selected an advance payment (most likely a bank transfer) as a payment method.

  • Sales Receipt - is a PDF document used for cash register orders (cash register settings and cash register orders are available only on accounts with the Cash Register addon).

Stock Templates

Stock templates are connected with inhouse stocks. They define the layout and appearance of documents issued for changes in stock balance.

Note

For proper function of the stock you have to create Document Sequences for particular documents and assign them in the Stock Services application to the particular stock.

There are 3 Stock templates:

  • Receipt - this document is issued when you have added (accepted) some products to the stock. It is required for proper stock function and without this template you cannot store anything at all.

  • Issue - this document is issued when you have issued some products from the stock. It is required for proper stock function and without this template you cannot issue anything at all.

  • Transfer - this document is issued when you have at least 2 stocks and want to transfer some products between them. You will issue them from one stock and accept them in another. Without this document you cannot transfer your products between stocks.

Export Templates

Export templates are bounded to the Export application located in the Sales module. These templates are responsible for the structure of the final export of data from your account (orders, invoices or issue slips).

Particular templates created here are used (added) in the Export application. You are also able to create these templates directly from the Exports application. Thus created template will be stored and available for edition in this (Templates) application as well.

There are more export templates because there are different parameters (information) you can use and display in the export.

  • Invoices Export Template - used to export invoices; in the template the invoice object is available.

  • Issue Slips Export Template - used to export issue slips; see more info about the available issue slips attributes.

  • Orders Export Template - used to export orders; see more info about the available order attributes.

  • Shipments Export Template - used to export shipment; in the template the shipments object is available.

  • Receipts Export Template - used to export receipts; in the template the receipts object is available.

  • Issue Export Template - used to export issues; in the template the issues object is available.

  • Transfers Export Template - used to export transfers; in the template the transfers object is available.

  • Contacts Export Template - used to export contacts; in the template the person object is available. See the Person Parameter Functions to improve your template.

  • Companies Export Template - used to export companies; in the template the company object is available.

Products Templates

Coupon Card is used to create a PDF coupon template.

Notifications Templates

Notifications templates are used in the notifications application. In this application, for a particular notification, its template should be set. And this template needs to be previously created here, in the Website Editor.

All notifications templates cannot contain translation strings.

Coming Subscription Renewal

This e-mail is awailable for accounts with the :ref:’Order Subscription Addon<lab-order-subscription-addon>’ enabled only. This email will be sent 7 days before creating a new order (subscription).

Subscription Paid E-mail

This e-mail is awailable for accounts with the :ref:’Order Subscription Addon<lab-order-subscription-addon>’ enabled only. This email will be sent after the subscription order has been paid. This email will be sent after the subscription order has been paid.

Subscription Paiment Failed E-mail

This e-mail is awailable for accounts with the :ref:’Order Subscription Addon<lab-order-subscription-addon>’ enabled only. This email is sent for orders that are not automatically paid. If the order is not paid, another attempt is made to charge the order from the payment gateway. This process starts every 4 hours, with a maximum of 5 attempts to pay. Since the last attempt of payment must pass more than an hour (in order to avoid that we will try to repeat the payment too soon).

Subscription Renewal E-mail

This e-mail is awailable for accounts with the :ref:’Order Subscription Addon<lab-order-subscription-addon>’ enabled only. This email will be sent when a follow-up subscription order is created.
