Affiliate Network

Affiliate marketing is a powerful tool which allows you to get new customers or website visitors. Its principle is quite simple. You reward your affiliates for each customer (or website visitor) who completes a predefined target (such as the order placement) and who has been brought to your website by the affiliate effort. This can typically be a link to you website on the affiliate’s website or a personal recommendation by an affiliate to his/her friends.

Note

In BizBox, there are applications for affiliate marketing available only when the Affiliate addon is allowed. If not, please feel free to contact out support team.

Affiliate Network applications are located in the Sales module:

  • Affiliates serve as a management for particular affiliates - partners - who are gathering new customers or website visitors for you.

  • Campaigns allows you to define particular goals which visitors (brought by an affiliate) must fulfill in order to make a conversion. Every campaign is bound to a single affiliate. Every affiliate partner can have as many campaigns as needed. There are two types of campaigns: web and voucher

  • Conversions is used for evidence of successfully fulfilled goals from defined campaigns. You can confirm or decline a particular conversion.

  • Commissions display particular amounts you should pay to your affiliates. Commissions arise from confirmed conversions.

  • Statistics application is used to display all data from your affiliate programs in a well-formed table with a graph.

Affiliates

Affiliates is an application located in the sales module (remember that you need to have the Affiliate addon allowed in your account to be able to use this application). It serves for management of particular affiliate partners you want to cooperate with. Every affiliate is connected with a company.

In order to successfully use the affiliate marketing, you have to start with an affiliate creation in this application. Affiliates created here are subsequently used in the Campaigns application, where the details about the cooperation are set up.

Add a New Affiliate

  1. Run the Affiliates application located in the Sales module (remember that you need to have the Affiliate addon allowed in your BizBox account).

  2. Click the New button and fill in all required fields:

    • Name is the name of particular affiliate partner. Affiliate applications are not displayed to your affiliates so they will actually never see it. Or anyone else apart from you and other BizBox users.

    • Internal Name has to be unique within this application. It serves for identification of this affiliate in another applications.

    • Company connects this affiliate with a company. You can select an existing one or create a new company record.

    • Currency defines the currency in which the commissions for this affiliate will be counted.

    • Invoice Period (optionally) sets the day when will be the commissions counted and you should pay the reward to this affiliate.

To make the affiliate program work, you have to assign this created affiliate partner to an affiliate campaign. Every affiliate can have as many campaigns as you need.

To the affiliate a tag (or multiple tags) can be added. To create a new tag for affiliates, click the Tag button in the toolbar. A new window will appear. It allows you to assign a tag to affiliates and display the Tag Manager in which tags are created and managed (to a tag a Name, Internal Name, Description and Color can be defined). Contacts’ tags are internal. They are not displayed to customers/affiliates.

To add tags for more affiliates at once, use the Bulk Actions button located in the toolbar. If you are going to work with affiliates’ tags, add a column Tags to the Affiliates application. It allows you to filter affiliates according to assigned tags.

Commissions Tab

On this tab affiliate’s commissions are automatically displayed. You can display its detail (it contains particular orders and amout which belongs to the affiliate) and mark the commision as paid (this is used only for your own evidence purposes).

Notes Tab

Notes tab serves only for your own notes. If you want to add a note to the affiliate partner, do it on this tab. The inserted note is never visible to affiliates, it is only for your own purposes.

Campaigns

Campaigns application is a part of the Affiliate Network (remember that you need to have the Affiliate addon allowed in your account to be able to use this application). It allows you to define particular information about the affiliate’s campaign, such as goals, validity, commission approval, sources and more.

There are 4 types of connection between campaigns and orders:

  • Web Campaign is connected with a link that have customers (visitors) brought by the affiliate used to visit your website and place an order. This link is unique for every campaign and it is the resource for counting commissions. Visiting a link saves the campaign in the user session. This disappears after 60 days of visiting the site (ie after 60 days, the reward for the order will be calculated).

  • Voucher Campaign is connected with a vouchers. Used voucher is the resource for counting commissions.

  • Contact Campaign is defined by particular contacts. If a particular contact places an order, the commission is counted.

  • Validity Extension which is applied to a particular goal (it’s a goal setting, not a campaign type) and defines (after how many days after the first order) the commission will still be counted if the customer places another order in the future.

One order can come under more campaigns. For example, if a customer places an order using a campaign voucher and this user has come to the website using an special URL address. This customer can also be someone’s (partner) contact. In such a case, the priority of evaluation is used:

  1. Contact Campaign

  2. Voucher Campaign

  3. Web Campaign

  4. Validity Extension

This means, that if a customer uses a voucher from a campaign but he/she is also listed as a someone’s (affiliate’s) contact, the order (potential commission) will be added to the affiliate partner from the Contact Campaign (and not from the Voucher Campaign).

Create a New Campaign

  1. Run the Campaigns application located in the Sales module (remember that you need to have the Affiliate addon allowed in your BizBox account).

  2. Click the New button and select the type of campaign:

    • New Web Campaign - for this type, one or more unique links will be created which will be used by the customers (visitors) to visit your website. For every visitor, who fulfills the goal, the affiliate will get a reward. Visiting a link saves the campaign in the user session. This disappears after 60 days of visiting the site (ie after 60 days, the reward for the order will be calculated).

    • New Voucher Campaign - you need to create a special set of vouchers that are connected to a campaign. When a customer uses one of the voucher codes from the connected vouchers, the affiliate gets a reward.

    • New Contact Campaign - you will provide a list of contacts. If one of the listed contacts places an order, the affiliate gets a reward.

    Note

    You have to create voucher codes in the Vouchers application first. These vouchers are assigned to the paricular voucher campaign.

  3. The work is quite similar. You need to fill in all required fields:

    • Affiliate defines a particular affiliate partner for which this campaign is created. Every campaign is bound only to one affiliate and one affiliate can have as many campaigns as needed.

    • Name is the name of this campaign. It is not displayed to the affiliate partner, only you and your co-workers will see it in other Affiliate Network applications.

    • Internal Name is system name which has to be unique within the Campaigns application. It is not displayed anywhere.

    • Validity defines the time validity of this campaign. In case you will set the flag to NO, the campaign will be always inactive regardless of the time period set below. If you need, you can specify the starting and ending date of an active campaign (it will be automatically launched and ended according to the dates).

    • Automatic Approve means, that you will not manually approve all conversions arising from this campaign. If not, you have to approve every conversion in the Conversions application. This is a safeguard in case an affiliate will misuse the campaign settings to his/her advantage.

    • Days After defines how many days after the ending of this campaign the conversions will still be accepted. It is used in case a customer (visitor) visits your website from the affiliates link, but does not fulfill the goal yet (customer can make a decision about the purchase later). This setting is available only for Web Campaign.

    • Websites allows you to select on which websites this campaign will be running.

  4. Optional fields are:

    • Campaign Type is not editable, it defines the type you have selected when you have created this campaign.

    • Description is used to provide a little information about this campaign. It is not displayed anywhere (only in this application) and serves for your and your co-workers future needs.

  5. Click the second Campaign Goals tab. Here, all goals are displayed, and for the fulfillment of which the commission will be paid to the affiliate. You can have as many campaign goals as you need. Select the Goal Type (currently only the New Order is available):

    • Goal Type: New Order - the affiliate needs to bring a visitor to your website who has to place an order.

    • Voucher (available on for the Voucher Campaign) is used to select a previously created voucher code that is used for this affiliate. In case a voucher from this voucher codes is used, it is automatically taken as a fulfilled goal.

    • Partner Tier (optional) - you can restrict this campaign goal only for customers who belongs to the partner tier selected here. It means that this goal can be fulfilled only by customers from the selected tier. If you left this field blank, partner tier won’t be used to evaluate the goal completion.

    • Currency is used to select the currency in which the order must be placed. If you want to define it for more currencies, you have to create another goal. It is also used to define the reward amount for this goal.

    Reward Settings

    • Formula field is used to define your own formula for the reward counting. Click the Editor button and a new window will appear. Here all the possible parameters with order/goal values are available and you should use them in your formula. For every parameter you want to use fill in a testing value that will be used to test your formula. When you are done and your formula is final, click the OK button. The formula will be inserted in the goal settings,

    • Reward Amount Rate is used to define the percentage amount from the placed order that will be counted as a reward.

    • Reward Amount is a particular amount a partner will get in case the goal is reached.

    • Minimal Reward Amount is a guaranteed amount from every order (used in case the percentage from the order will be lower than amount defined here)

    • Maximal Reward Amount which defines upper limit for the percentage amount from the order (if the percentage amount is higher than this amount, this amount will be used to calculate the reward).

    Validity Settings

    You can define that the reward will be counted repeatedly in case the same customer who completed this goal will place more orders in the future. If you turn on the Validity Extension, you can define for how many days after the first order the reward will be counted.

  6. For Voucher Campaign there are no more tabs and you can proceed to the last step.

  7. For Web Campaign click the Campaign Sources tab and click the Add button. Source is used for the differentiation of particular links that will be available on the last Campaign Link tab. Insert the name (used only in BizBox) and the internal name (unique system name that will be reflected in the generated code) of this source. Description is an optional field used to provide a short piece of info about this source. The last Campaign Links tab is also available only for the Web Campaign. Links are generated which you must send to the affiliate. The affiliate will use it on his/her website to gather customers (visitors) for you.

  8. For Contact Campaign click the Campaign Contacts tab and add all contacts (searched from the Contacts application by e-mail, first name, last name or company name) on which this campaign is focused. The goal can be reached only if a contact defiend here will place an order. Other customers are not included in it.

Goals Evaluation

Fulfilled goal is selected according to the following pattern:

  1. The campaign has to be active. If the period of validity is set, the order (goal) has to be placed in this time period.

  2. The campaign has to be set for the particular website: the placed order (goal) has to be placed on the website which is set for the campaign.

  3. The particular campaign type is fulfilled (a new order has to be placed)

    • Voucher Campaign - the customer has to apply a voucher which is connected to the campaign.

    • Web Campaign - the customer has to visit the web using one of the links generated in the campaign detail.

    • Contact Campaign - the customer, which has placed the order, has to be listed in the campaign detail.

  4. The goal’s currency is equal to the order currency.

  5. The goal’s partner tier is equal to the partner tier of the customer. If there is no goal found for the customer’s partner tier, a goal without a defined tier is searched/used.

Conversions

Conversions is an application located in the Sales module in the Affiliate Network section (remember that you need to have the Affiliate addon allowed in your account to be able to use this application). It displays all conversions from all affiliate campaigns from your account.

Only orders which are marked as paid (payment state of an order) can be counted as conversions. The conversions calculation is realized every 1 hour (the conversions are not changed in real-time with the order status update).

Commissions

Commissions is an application located in the Sales module in the Affiliate Network section (remember that you need to have the Affiliate addon allowed in your account to be able to use this application). It displays all commission that have been successfully created. It is used for evidence and you can see (and edit) particular commissions that have been paid to the affiliate.

The commissions calculation is realized daily (commissions are not changed real-time with the convertions updates).

Statistics

Statistics is an application located in the Sales module in the Affiliate Network section (remember that you need to have the Affiliate addon allowed in your account to be able to use this application). It displays data about affiliate sales.
